Differences between revisions 10 and 34 (spanning 24 versions)

This page shall help you to set-up and design your personal FSFE booth. Because although that each booth is different, we try to represent a corporate identity. Also, we like to share good and bad practices to learn from each other.

If you organise a booth, please don't hesitate to ask our office for a booth package which contains everything you should need to set up the booth as well as promotion material to distribute and - optionally - merchandise to sell.

General booth layout

The booth package contains a banner which should be used to make clear that FSFE is the organisation present at the booth. If you have the possibility to hang the banner above head height in the back of the booth, this is ideal, because there it's also visible when the space before the booth is crowded. As a second, less preferrred option, you can hang the banner at the front side of the table.
Present all posters, if you have the possibility to do so, by hanging them in the back of the booth or at walls near the booth. In any case, ask the event organiser for permission to stick something to any kind of wall!
If you sell merchandise, use about half of the available space on the table to present promotion material and half to present merchandise. If you draw a clear line between the two, it is easier to explain what people can take for free and what they have to pay for.
If you have the chance for an additional bar table, use it for the deeper talks.
If electricity and internet connection is available, it is nice to have a PC at the booth in order to allow people who wish to subscribe to a mailing list or join as a supporter to do so, or to run a eye catching slideshow.
At outdoor booths, you may provide a bowl with water for dogs. The dog owner will have time to learn something about FSFE that way

Promotion material

Use brochure stands to present our flyers and leaflets. The booth package contains the right kinds of brochure stands. If you have promotion material in different languages, arrange it in a way that makes it understandable right away which item is available in which languages.
If you run an outdoor booth, use binder clips to keep stacks of flyers from flying away (pun intended).

Merchandise (optional)

Present all merchandise on the booth's front table. People will not buy what they can't see.
Put a price tag to each of the items you present.
If you have the possibility to place an additional table in the back of your booth, you can use that as a storage for the merchandise and put only one item of each design on the front table. If you have much merchandise, you can use the cardboard box(es) in which the merchandise was transported to build a temporary shelf.
When preparing T-shirts to sell, it is better to make a stack per size, mixing different colors, than to make a stack per color, mixing different sizes. Reason: when you want to find a specific T-shirt very quickly, the size defines the stack to search in, and within that stack you can easily find the desired color.

Examples

Below you find various pictures of booths from the FSFE. They have different characteristics and each has its pros and cons. What is best depends on the audience and the event itself. You may want to follow a similar style as other booths at the event, but you also want to be different enough that people notice!

A booth can be put up very simple with a single table only. The tinyer the booth, the more it sells out to use your environment to put up posters and balloons to get more attention for your booth.

FSFE Summit

The booth at our FSFE summit. Worth to mention here is that every item that is sold has a price-tag attached. This is very helpful in many aspects: People can see that an item is sold and not for free, it saves time for everyone by avoiding 100 times a day the question "how much is this" and more introvert people can see the price and decide without having to ask.

Froscon

A very good arranged booth. Especially worth to notice the armory at the left side of the booth, that makes browsing clothes pretty simple.

Note the bar table on the right side, that makes it easy for people to dig into a deep talk while other people can still browse the material at the booth.
